Terms & Conditions of Hire
The contract of hire shall be between the hirer and the Village Hall Management Committee and subject to these terms of hire.
Full payment must be received 4 weeks prior to the commencement of your booking.
A returnable £50 damage/cleaning fee deposit is also required for each day or part day of hire at the time of making full payment. This will be refunded within 10 days if the booking is cancelled. It will also be refunded within 10 days of the end of hire if the hall is left clean, clear and without damage.
If full payment is not received by the due date, we are entitled to cancel your hire and re-advertise the dates immediately.
Hirers must book sufficient days to include time for setting up and for clearing the hall after their event (e.g. removing an internal marquee etc.). These additional days will form a part of the total hire for the event.
Cleaning up must be done within the period of hire for your function and keys returned, unless previously agreed otherwise. Cleaning equipment can be found in the Cleaners cupboard and under the sink.
In the event of a hirer wishing to cancel the arrangements after making full payment but prior to the commencement of the hire, a 50% refund of the hire charge will be made if notice is greater than 14 days. No refund will be made if cancellation is made within 14 days of the date of hire.
The booking is made on the understanding that the property will be available to the hirer on the date specified. In the unlikely event that this should not be possible through unforeseen circumstances (e.g. fire damage etc.) the hirer will be offered a full refund of the rental received. The hirer will have no further claim against the Village Hall Management Committee.
The Village Hall is a Grade 2 listed building and therefore hirers (or their contactors) must not drill holes or fix anything to the walls, doors, floor or ceiling without written permission from the Village Hall Management Committee.
The heating has been programmed for the week. Please return all thermostats, radiator valves etc. to their original settings if you alter them.
Please ensure all lights are switched off including the outside lights, and the premises are secure when leaving. A charge may be made if the Main Hall heating or the lights are left on.
All food waste and full rubbish bags are to be put in the black rubbish bins located in the Stable Yard. Recycle-able items are to be placed in the blue bins which are also in the Stable Yard. A full list of the items that can be re-cycled is located in the kitchen. Should they be needed, bin bags are under the sink.
All chairs, tables etc. should be left as found. Please lift and not drag tables and chairs.
Parking for the Village Hall is available in the sign-posted field. Please reserve parking directly outside the hall entrance for disabled access and deliveries as this is a working stable yard.
The person making the booking is responsible for the property and for making sure that all members of the party observe all aspects of their obligations including the supervision of children, and all Health and Safety.
Please note that the bar and equipment does not belong to the Village Hall and is not included in your hire unless this has been previously agreed in writing. A separate hire of this facility may be made subject to conditions from the Hackthorn and Cold Hanworth Social Club. Enquiries to be made via the Village Hall booking Clerk below.
The volume of music must be kept to a level that will not disturb residents living nearby.
Special effects machines such as bubble machines must not be used as the liquids used will damage the floor finish. It is the hirerís responsibility that the relevant person be informed.
Please be considerate to residents when leaving and keep noise to a minimum.
